Please read the following terms and conditions of “On the Go Travel and Tours” (herein after known as OGTT). The purchase of any travel services offered by OGTT, constitutes a contractual arrangement between you and OGTT and represents your acceptance of the OGTT terms and conditions set out herein.
There shall be no binding contract between OGTT and the Client until the following conditions are met:
1. Email correspondence indicating acceptance of the provided quote
2. The Customer Booking Form has been completed and signed
3. 50% deposit of the invoiced amount has been paid unless full payment is required.
Forms of payments:
• Electronic transfer
• Secure online payment by credit card into our PayPal account
Payment, in either form, for the invoiced amount must be made 72 hours prior to the due date to ensure funds are received in time to pay suppliers.
Price and availability:
All prices are quoted in South African Rand.
All quotations are subject to availability from third party suppliers. Should the product range no longer be available, another product will be quoted at an updated price.
Prices are subject to alteration without prior notice.
Payment of a booking deposit allows us to hold a reservation for you but does not guarantee the price. The price can only be guaranteed once we receive full payment and travel documents have been issued. The full payment date will be indicated on the invoice provided. If we have arranged a package, changes in transportation costs including cost of fuel, taxes, fees and exchange rates means that the price of your travel arrangements may change if full payment has not been received
Amendment Fees: Any amendments made to confirmed bookings will incur a fee. The fees are charged per amendment. This is in addition to any fees that may be levied by the supplier or airline. Any alteration or cancellation of services after your holiday has commenced can incur penalties. There is no refund for unused services.
Late Booking Fees: A late booking fee of R250 can be charged if booking is made within 72 hours prior to departure. This depends on the amount of administration work involved, and if applicable, you will be notified at time of reservation request from you or your agent.
Reporting of Incidents:
Any abnormal incidents including injuries, service problems, cancellation of a service or dissatisfaction must be reported to OTGTT during the event to allow us an opportunity to rectify the situation or provide assistance.
Standard Cancellation Policy:
If you wish to cancel your booking you must advise us (OGTT) immediately and should be done in writing we will then advise the relevant suppliers.
Our cancellation policy is based on our Supplier Cancellation policy and will apply accordingly. This applies to all services ie. Tours, activities, accommodation, transfers and car hire. We do not guaranty that any refunds will apply
Refunds will only be paid to you once we have received the funds back from the Supplier(s). We are not responsible for a Supplier’s failure to pay a refund. A R250 processing fee applies to all approved refunds. No refunds will be made for services once travel arrangements have commenced. No guarantee is provided or warranted that any refund will be available.
If the reason for your cancellation is covered under the terms of your travel insurance policy, you may be able to reclaim your cancellation charges through your insurer.
All refund requests must be in writing, and made direct to us. Claims must be made within 10 days of completion of travel arrangements. Refunds will not be made for bookings cancelled due to inclement weather or illness. These must be claimed through your travel Insurance. A R250 processing fee applies to all approved refunds. No refunds will be made for services once travel arrangements have commenced. No guarantee is provided or warranted that any refund will be available.
Our general practice is to send documents to our customers electronically whenever possible. We reserve the right to charge an administration fee should you make a request for such documents to be sent as a hard copy. Documents (vouchers, itineraries, etc.) are only prepared on receipt of full payment of the price, and signed & completed Booking Form is received.
It is important that you check all details of your travel documents (including your itinerary) before leaving your country of origin. If there are any inaccuracies on any of your travel documents, or should you have any further queries, you should contact our offices immediately. We will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once you are in receipt thereof and you have left your country of origin.
Star rating of hotels and other is based on rating in the country of travel. OGTT cannot guarantee availability of a particular hotel (or other) as is subject to availability. In this instance a suitable alternative of the similar rating will be sourced where possible.
Please adhere to any rules and regulations of the hotel or other as OGTT is not responsible for any charges and damages resulting thereof.
If a particular room type is required, then please advise when making the booking.
Meals will be provided as requested on making the booking.
Activities offered during your stay
An activity may not be appropriate for all ages or for individuals with certain medical conditions. OTGTT may not be held liable in the event of an incident or accident which is due to a lack of vigilance on your part.
Outdoor activities are subject to weather conditions on the day.
Travelers with special needs or disabilities
If you have special needs or a disability you must call the provider of your accommodations ahead of time and verify that special needs can be met. OGTT make no guarantee as to the ability of any accommodations, activity provider, or facilities advertised on its site to meet the special needs of disabled clients. OGTT has no special knowledge regarding the suitability for disabled persons of any portion of any tour or activity offered. For information concerning the suitability for disabled persons for any portion of any tour or other reservation, contact the supplier directly.
Travelling with children
From 01 June 2015 all children under the age of eighteen are required to carry an unabridged birth certificate when travelling internationally. It is the customer’s responsibility to familiarize themselves with the regulations for minors travelling internationally
It is strongly advised that all clients take out adequate insurance cover such as cancellation due to illness, accident or injury, personal accident and personal liability, loss of or damage to baggage and sports equipment.
Passports & Visas
All passengers should be in possession of a valid 10 year passport which must have at least six months validity beyond the return travel date.
Please ensure when making a late booking that you have enough time to obtain replacement passports and any necessary visas if required. It is your responsibility to ensure you have the correct passport and visa documentation in good time.
The onus is on the customer to ensure compliance with any health requirements and recommended precautions relevant to travel, including but not limited to ensure that all necessary vaccination documentation is presented.
OGTT recommends that travelers consult their local doctor, travel medical service or specialist vaccination clinic before commencing travel.
OGTT advises pregnant women to consult their doctors before making any reservation, in order to confirm that it is appropriate for them participate in the Trip. You agree that OGTT will not be liable for any damages arising from inability to participate in any or all of the Trip due to pregnancy or related illness and no compensation will be payable under such circumstances.
In the event that you have any reason to complain, or experience any problems with your holiday whilst away, you must immediately inform OGTT of the services in question. Failure to give us the opportunity to resolve any problem at the time it occurs may result in either a reduction, or complete extinction, of any rights which you may have to claim compensation.
Whilst every effort will be made to resolve your complaint to your satisfaction, it is specifically recorded that OTGTT in no way accepts liability for any claim.
